Position Description

Members of our Operations team oversee the flow of voting data through our systems. The Operations team liaises with various internal and external stakeholders to perform key reconciliation
tasks and ensure that proxy voting activities are monitored and executed promptly. Operations team members will gain an in-depth knowledge of proxy voting mechanics and use this
knowledge to help troubleshoot issues, identify areas for process improvement, and partner with Client Services and Research to provide our clients with a superior service experience.

 

Key Responsibilities:

  • Assist with the collection, audit, oversight, and management of incoming and outgoing proxy related data.
  • Perform detailed reconciliation services and rejection resolution within agreed timelines.
  • Provide detailed reporting on monthly key performance indicators, reconciliation outcomes and resolutions, and other activities as needed.
  • Prepare daily reporting for internal stakeholders that highlights key actions needed to ensure efficient vote execution.
  • Create meeting coverage calendar and assist in prioritizing the research production queue through workflow assignment.
  • Audit key data elements to ensure data integrity.
  • Coordinate with external stakeholders to execute core services such as opening and closing accounts at custodian banks, ensuring ongoing account setup health, and provision of data to third parties as needed.
  • Execute vote services through third party platforms that do not have direct data feeds.
  • Review, process, and resolve issues related to processing client holdings.
  • Collate and input information disclosed by public companies, such as meeting results and meeting materials.
  • Provide support for ad hoc projects involving the collection and analysis of data.
  • Escalate issues on a timely basis so that appropriate action can be taken to ensure internal and external stakeholders are aware of any impact on client deliverables.
  • Investigate and resolve operational issues and challenges as they arise.
  • Conduct root cause analysis to identify underlying problems and develop effective solutions.
  • Implement and monitor corrective actions to prevent recurrence of issues.
  • Develop and implement process enhancements to increase efficiency and accuracy.
  • Update and maintain process documentation to reflect changes and improvements.
  • Collaborate with different internal business teams and external stakeholders to resolve client inquiries.

 

Qualifications:

  • Bachelor’s Degree in Business, Economics, Information Technology field.
  • Experience using MS Office suite, with a strong emphasis on Excel & outlook along with internet research tools.
  • Must be methodical with a keen attention to detail.
  • Some experience using a database is helpful.
  • Ability to quickly comprehend complex subjects and approach issues in a flexible manner.
  • Ability to multi-task, prioritize, assume personal responsibility and self-motivate to achieve personal deadlines.
  • Must work effectively under pressure to meet tight stakeholder deadlines.
  • Analytical skills are required to research and resolve enquiries.
  • Ability to build and maintain relationships with various stakeholders.
  • A keen focus on teamwork and an ability to collaborate with colleagues across the organization.

This is a hybrid position with regular office attendance of approximately 2 days per week is expected.
